Emails and their associated email signatures are often the first thing customers see from you. Nowadays, almost all business communication happens via email, from the first quote to the final project evaluation.

Add a Banner to Your Outlook Signature

It’s a smart idea to use your email signature to communicate something about yourself or your company. By extending the signature with a temporary banner, it takes on a dual purpose. For example, you could use the signature to highlight open job positions, including a link to the webpage with more information. Another fun way to use this extra space in the email signature is by adding a holiday-themed image during festive seasons.

Additionally, the Outlook banner can be used to inform customers about your presence at a trade show. There are countless ways to temporarily extend your signature with a banner. The challenge, however, is often getting the banner added to everyone's email signature at the same time—and removed simultaneously when it’s no longer relevant. Changing an Outlook signature can be a time-consuming task, unless it is done centrally.

A Standard Banner in the eformity Outlook Module

To address this, we have included the email banner as a standard feature in our Outlook module: a temporary rule that can consist of clickable text or an image. You can pre-set the start and end date for the banner’s visibility. By using these dates, you ensure that the temporary banner doesn’t remain in the Outlook signature longer than necessary.

Central Management of Outlook Signatures

In addition to making it easy to manage Outlook signatures, administrators can also decide who sees the banner. With just one click, you can determine whether the banner is displayed for a specific department or the entire company. This way, you can customize a different temporary text line or image for each location or business unit.

The Benefits of Centrally Managed Email Signatures

Along with easily adding banners, there are other reasons to manage email signatures via eformity:

  • Because the signature is centrally managed, it remains consistent across all users. Any changes are applied to everyone at the same time. This ensures that the signature becomes part of the uniform appearance of the organization, consistently maintaining the brand’s visual identity.
  • Additionally, updates are made much more quickly. For example, if the address changes, it can be easily and swiftly updated. There’s no need for each individual to manually update their own signature or any hyperlinks. This also applies to seasonal signatures, as mentioned above. This leaves more time to focus on the content of the emails.
